From RFQ to Delivery: How Our Quote Process Works

Most of our orders start as a simple question: "Can you get this for us?" Since 2023 we have answered that question more than 4,700 times. Here is what happens between your request and the moment the item arrives at your building.

1. Request for quote (RFQ)

Send us what you need — from a product page on VSBL Shopping, by email, or as a list with item names, specifications and quantities. A link to a reference product or a photo is often the fastest way to be precise.

Each request is registered with its own RFQ number, so every later message and document can be traced back to it.

2. Quote

We match each line to our catalog or source it from our supplier network, then issue a formal quote in USD with item, specification, quantity and unit for every line.

If your requirement changes — a different quantity, color or model — we issue a revised quote with a revision suffix rather than a brand-new document, so your approval history stays clean.

3. Purchase order

Once your approving official accepts the quote, we receive your purchase order and confirm the delivery point, point of contact and any building access requirements.

4. Sourcing

Items in a single order often come from different suppliers. We split the order by supplier internally and track each part, so you still deal with one vendor and one set of paperwork.

5. Delivery

We coordinate delivery on the installation and hand items over to the requesting unit. For bulky or heavy items — such as a 2,000 lb platform hand truck or a 700 lb digital shipping scale — we plan the drop-off with you in advance.

If a delivery date matters, tell us when you send the RFQ. It helps us choose suppliers that can meet it.

Installation-required items and job orders are scheduled separately, with the scope confirmed in the quote before any work begins.
